Event and Classroom AV Services Terms & Conditions

Terms

We accept the following payment methods:

Enterprise Financial System (EFS) numbers

Personal and Business Checks – Payment by check requires deposit for estimated costs 5 business days in advance of rental/event. If hours of event extend past estimated time and/or additional equipment is requested during event, an additional check must be issued to cover the additional costs at the completion of the event.

Purchase Orders (P.O.'s) from other educational institutions.

Conditions

Some rental equipment may require an additional security deposit if payment is made by check. A refundable security deposit check will be required in these cases.

Tax exempt identification numbers are required for all non University of Minnesota tax exempt entities (Minnesota Revenue Certificate of Exemption Form Number ST3) 24 hours in advance of event.

Prices listed are for one day rates only.

Consecutive day rentals are at 50% of listed rates.

Weekly rates are three times the daily rate.

Monthly and Semester rates are available upon request.

Technician support for events scheduled after 4 PM weekdays and any time during weekends requires a 4 hour minimum labor charge based on the prevailing rate for the technician requested. See labor rates below.

Equipment rentals that extend beyond our normal operating hours require the rental party to provide security for the rented equipment until pick up of the equipment can be made during our normal operating hours. Loss of the rented equipment during rental periods is the responsibility of the renting party.

Equipment Rentals Only

A delivery charge of $15.00 will be added to all orders of less than $50.00 for on-campus locations.

A delivery charge for off campus locations is calculated at an hourly basis of $55.00 per hour for time necessary to deliver the equipment.

Will call pick-ups are available between 7:30 AM to 4 PM Monday thru Friday at no additional charge.

Cancellation of equipment rental upon delivery of the equipment will result in a fee of $55.00.

Emergency requests for the delivery of AV rental equipment is subject to staffing availability and a $55.00 Emergency Delivery fee will be assessed.

Equipment Rentals with Set up

A minimum charge for on campus set ups is one and a half hours of labor charged at $55.00 per hour.

Off campus set ups require a minimum charge of two hours labor charge at $55.00 per hour.

Cancellation of equipment rental upon delivery of the equipment will result in a fee of $55.00.

Please allow a minimum of one hour prior to the event start time for the technician to set up the requested equipment. If time is not allotted, event start time may be delayed.

Events requiring a Professional Technician or Equipment Demonstrations

Technician requests received with less than 72 business hours advanced notice will be charged an additional fee of $75.00.

Cancellation of a technician with less than 72 hours notice will result in a charge of $75.00.

Please allow a minimum of one hour prior to the event start time for the technician to set up the requested equipment. If time is not allotted, event start time may be delayed.
