Where can I read about the new class scheduling policy?

You can find the new policy in the Policy Library and a summary, with an FAQ, on OCM's site.

How can I find the availability of a general purpose classroom?

To check the availability or schedule of a general purpose classroom, use the Astra Schedule Enterprise Calendar.

  1. Select the appropriate date on the calendar (on the left side of the screen).
  2. Select a filter option to view classrooms by:
    • Building
    • Campus

The Astra Schedule Enterprise Calendar provides up-to-the-minute information for all general purpose classrooms.

How do I use the Astra Schedule Enterprise Calendar to request a classroom?

A quick start guide is available to get you on your way to requesting general purpose classroom event space through the Astra Schedule Enterprise Calendar.

How do I reserve a classroom for a course or course-related activity?

To reserve a classroom for course-related purposes, simply e-mail the Office of Classroom Management's scheduling department at ocmsched@umn.edu.

In your e-mail:

  • Include the term (Summer 2013, Fall 2013, etc) in the "subject" field.
  • Include the course number, section number, and meeting day/time.
  • Specify building and room number desired, or pedagogical style of room needed (including equipment and seating needs).
  • How do I reserve a classroom for my upcoming event?

    First, check classroom availability using the online Astra Schedule Enterprise Calendar.

    If the classroom is available during your desired time, request a room using the request form. A quick start guide is available with more information.

    Is there a fee to reserve a classroom?

    Typically, there are no fees for University-affiliated groups (U of M academic programs, courses, academic seminars, and department-sponsored events).

    Some exceptions include:

    • Activities taking place after normal classroom hours.
    • Activities that result in extra cleaning and/or maintenance.

    For non-university groups, some fees do apply. For more information, please reference the Event Scheduling Guidelines on the Office of Classroom Management Web site.

    How do I reserve a space outside?

    The Student Unions & Activities office handles most outdoor space reservation requests.

    For details on the reservation process and to print out a reservation form, visit their Web site at www.outdoor.umn.edu or call 612-626-6919.

    Where is my class located? What time does it start?

    To find the location and/or time of any class, use the online Class Schedule search.

    To complete your search, you will need to know in which department the course is scheduled.

    Is it possible to change the classroom to which my course was assigned?

    To request a classroom change, simply e-mail the Office of Classroom Management's Scheduling Unit at ocmsched@umn.edu. Scheduling will let you know whether or not the change is possible. It may take up to 48 hours for scheduling to respond to your request, so please be patient.

    In your e-mail:

    • Include the term (i.e., summer 2013) in the subject line.
    • Include the course number, section number, and meeting day/time.
    • Specify building and room number desired, or layout of room needed (including equipment and seating needs).

    How can I find out what audio/visual (AV) equipment or technology is available in each classroom?

    For a list of the equipment or technology that is available in each classroom, use the Room Inventory.

    During what hours are classrooms unlocked?

    Monday - Friday, standard classroom hours:

    Classrooms are to be unlocked 8:00 a.m. – 10:00 p.m.

    Saturday, standard classroom hours:

    In order to provide better service Facilities Management (FM) and OCM support classroom use in eleven buildings on Saturdays, 8:00 a.m. - 4:00 p.m.:

    • Hanson Hall
    • Humphrey Center
    • Keller Hall
    • McNeal Hall
    • Nicholson Hall
    • Rapson Hall
    • Ruttan Hall

    General purpose classrooms in other buildings are available on an exception/approval basis only. For more information, go to FM's Weekend Standards FAQ.

    Sundays or University Holidays:

    The University is not open on Sundays or on University holidays.

    Classrooms will be unlocked for scheduled activities (courses and events) that occur outside of standard hours of operation. Classroom events must be coordinated in advance with the Office of Classroom Management.

    If a scheduled classroom door is locked:

    Weekdays – call the Classroom Support Hotline at 612-625-1086

    Evenings or weekends – call the Building Systems Automation Center (BSAC) at 612-625-0011.
